Volunteer Agreements, Acknowledgements & Disclaimer
Disclaimer: This webpage and the Volunteer Handbook are intended to provide guidance for volunteers in the Bexley City School District. The School District reserves the right to amend these policies and procedures at any time. Volunteers are expected to adhere to all current district policies and regulations, as well as directives from school staff. If you have any questions regarding this handbook or your role as a volunteer, please contact the building principal or the Director of Employee Relations.
Agreement 1: Student and Staff Confidentiality
Volunteers must protect the staff members' and the students' right to privacy. Federal and state laws protect the privacy rights of students and their families, which include:
- Education records and information
- Medical records
- Disability or medical condition
- Information a student shares with you
As a volunteer, you must agree that if you hear or become aware of the above information regarding students or staff, you will not repeat it outside of the school or to any individual who does not have a legitimate educational interest and a "need to know."
Agreement 2: Specific Student Information Confidentiality
Additionally, three laws govern special education confidentiality:
- FERPA (Family Educational Rights and Privacy Act)
- IDEIA (Individuals with Disabilities Education Improvement Act)
- The Ohio Policies Governing Services for Children with Disabilities
All three bodies of regulations indicate that confidentiality must be maintained relative to special education students.
- Therefore, any written or verbal communication with anyone who does not have a right to know is in violation of these laws.
- A volunteer should not discuss a child's disability or medical condition with any individual other than the classroom instructor, building principals, or building staff members directly involved with the student's education and well-being.
- The volunteer should not use any written or verbal statements outside of the school that would divulge the child's disability or medical condition; this includes notes, email, text messages, and/or social media.
In essence, only those who work directly with the student are considered as those with a legal "need to know." If at any time these terms of confidentiality are violated by a volunteer, termination of volunteer services may occur.
Agreement 3: Release of Liability
You understand that if you become ill or suffer an injury as a result of volunteering for the Bexley City School District, you release the Bexley City School District from any obligation, agreeing that you shall be responsible for any and all hospital and medical charges that may accrue. You release the Bexley City School District from any and all liability for any damages, whatever their nature, which may result as a consequence of your volunteer services.
Agreement 4: Background
You agree that it is your responsibility to notify the District within 72 hours by contacting the Director of Employee Relations if the status of your criminal history information changes in any way after the date of your application or most recent background check.
You understand that you may be dismissed as a volunteer if you have been named as a perpetrator of a founded report of child abuse or neglect, or as the individual responsible for injury or abuse in a founded report.
Agreement 5: Volunteering is a Privilege
You understand that volunteering at Bexley City Schools is a privilege and not a right. You understand that a violation of any of the terms of this volunteer handbook, the Ohio Revised Code, or Bexley City School District's Board of Education policies could result in the termination of your volunteer assignment.
Agreement 6: Acknowledgement of Handbook and Policies
By completing and submitting the volunteer application form, you acknowledge that you have read, understood, and agree to uphold all expectations outlined in the Bexley City Schools Volunteer Handbook and will follow all applicable Board of Education policies.
